BCARD credentials use NFC “contact-less” (or short range) RFID technology to register visits, conduct transactions, and engage attendees at face-to-face events.

BCARD credentials are generated on our exclusive production machines with an integrated ITN contact-less chip encoder.  BCARD printing and contact-less RFID chip encoding are fully automated and do not add a step to the badge making procedure. Each credential is fully processed in under 9 seconds.

A chip and an antenna are embedded in each credential and when processed through an ITN credential production machine, a BCARD is not only encoded with all of the attendee’s contact and registration information including demographic codes, but it is also personalized with printed registrant’s information (in upper and lower case). ITN drives its plastic and/or paper badge printers via a direct connection and uses the manufacturer’s internal drivers. As a result, ITN has complete flexibility on the design of the printed fields such as automatic scalability of fonts depending on length of the fields. There is no limit to the type of font used as long as it’s a windows compatible font. It is also possible to mix font types on the same badge layout. And last but not least, ITN can handle all foreign characters and it encodes and prints the data in its original format.

BCARD embeds NFC technology

Within every BCARD is a short range RFID chip and corresponding antenna. This technology is what creates Touch ‘N Go experiences and delivers quantifiable, reliable data and results.

NFC technology means that data can be transmitted in a two-way fashion. Data can be transmitted from the BCARD into a device (and then beamed up to the Internet). Likewise, the reverse is also true. Data can be transmitted from a device (i.e. NFC cell phone or NFC badge reader) onto the BCARD. And the best part about it is that you can read from and write to a BCARD at the same time!

NFC cell phones are credentials
Consider this: NFC cell phones can actually perform “double duty” as both a data collection device AND an event badge.

Today, at events using services from ITN International, NFC cell phones serve as handheld data capture devices. When a BCARD credential touches the NFC cell phone reader, data wirelessly transmits from the badge into the phone. An on-screen application is then launched with easy to use graphic interface, and upon completion of the data enhancement process, the data wirelessly uploads to a secure website where users can view and download data in real time. Now THAT is powerful. And it’s taking place today.

Tomorrow, the installed base of NFC cell phone owners will become massive. The new generation of NFC cell phones will soon replace the current cell phone base. When this happens, everyone’s NFC phone will have the ability to both accept wireless data AND EXCHANGE data with a simple “touch” via the NFC interface, just like the BCARD itself.

  • BCARD is secure. Proximity (near field RFID) technology mandates that data is only transmitted when the BCARD is placed within an inch of the reader. Attendee data cannot be read without the owner’s overt, opt-in permission.
  • BCARD is fast. Users just Touch ‘N Go to read information from -- and write information to -- the card. This means that information can be transmitted in an instant, allowing quick and secure access, survey collection, permission updates to the card itself, monetary value and point storage on the card for prize or merchandise redemption.

BCARD: Reading data from and writing data back to the credential
The ability to encode a BCARD with information instantly and wirelessly creates opportunities for attendees that have never before been possible. Here are some of the applications we provide that are a direct result of being able to write back to the BCARD badge.
  • iPORTAL - Internet Café: When a BCARD is placed on a reader attached to an internet workstations user is logged in based on permission status retrieved from  the card and key activities are recorded back on the card. When card is taken away from the reader user is automatically logged off.
  • View - Schedule: Attendees who wish to modify their CEU classes or seminar schedule can retrieve their calendar at a designated workstation, modify their schedule and instantly record data back to their BCARD, updating it with the newly created access codes.
  • Pass-Net: A photo ID and/or thumbprint can be stored on the BCARD to provide heightened security. Pass-Net control can be issued to event staff, facility staff, exhibitors, attendees or anyone requiring unique access permission.
  • Secure - BCARD: A photo ID and/or thumbprint can be stored on the BCARD or a direct link to a photo network storage device can be encoded in the card to provide heightened security. At ITN, we do not use an “engine” to create a pre-registration website that would limit your ability to offer features and processes that are specific to your event. We recognize that each event is different and we design a custom solution using our .NET tools that will adapt to your needs: we custom fit – we don’t retrofit!

Attendee Pre-registration

Accessed by login through supplied URLs accessible on the Client’s website or other promotional venues.
  • User name and password creation based on email to prevent duplicates
  • Choice of paid, complimentary (via coupon code or allocation), or no-charge records
  • Automated lookup for special pricing including association membership status
  • Registration upgrade capability via email campaign
  • Filtering and error checking routines incorporated

Email Confirmation
Automated, customized email confirmation to users that pre-register on the website. As an option, confirmation can be sent via text messaging to cell phones.

Fast Track Check-In
Optional service embeds a 1D barcode in email confirmations. Attendees who print and hand carry their email confirmations to the event benefit from faster on-site processing.

Exhibitor Pre-registration
Accessed by login through supplied URLs to exhibitor coordinator staff for managed registration or open URL for individual exhibitor self registration. As part of the ITN exhibitor portal setup for each exhibiting company, an online tool to upload lists of booth staff and/or lists of clients directly into the registration system is provided. Full management of allocation setup by show management for booth staff and other allocated registration packages is implemented.

Badge mailing services
For clients who prefer pre-show badge distribution, credentials can be produced and mailed based on data contained in the pre-registration and update databases. A manual quality control process is implemented during processing.

ON-SITE REGISRATION



Onsite Servers - Data Integration
:     
When ITN handles pre-registration, it keeps the pre-registration open throughout the event and it creates an automated synchronization with the onsite database on its servers securely connected to the internet: online registration never closes! When ITN is not used for pre-registration, ITN takes the pre-registration database from the client and integrates it in the ITN onsite database to create the registration system from which financial transactions are reconciled, badges are produced, and results are reported. ITN has worked on very complex data integration jobs with its clients and specializes in custom jobs.

Self Registration Stations:    
User-friendly stations and software enable pre-registered attendees and exhibitors to check-in, and enable walk-in attendees and exhibitors to initiate a new registration. Self-registration simplifies registration and cuts costs by reducing staff. Self registration stations can be equipped with credit card readers and will allow for a registration to be completed at the station without any need to interface with a cashier. One of the stations is always setup to meet ADA requirements. Self registration also allows for sponsorship information to be displayed.

Fast Track Check-In:
Speeds experience on-site for attendees who print and carry their pre-show email confirmation containing their 1D barcode identifier. When the barcode is scanned at the registration station, the users record is immediately retrieved and badge printing is expedited.

Manned Registration - Customer Assistance
As part of an onsite deployment, ITN installs stations with software setup with administrative login. These stations are used by trained temporary staff (we do the training!) to handle changes to a registration content, re-print badges, process upgrades, record special payments by cash or checks, etc.

Badge Printing Stations:
Include on-site badge printing hardware, software and supervision. Each printer is provided with an input hopper that holds stacks of cards that automatically feed into the machine. Each printer is also equipped with an ITN RFID encoder that requires no mechanical parts thus creating a highly reliable process for onsite badge production. Badge printing stations can be setup in separate areas like “Exhibitor Batch Print” to handle needs for pre-printing of multiple badges.

Equipment and Management   
We provide and install servers, workstations, self-service workstations, printer/encoders, handheld devices and the support staffing level you require. Our extensive hardware inventory enables us to fulfill any equipment need, even the world’s largest events. Our trained technical staff supports the onsite network, hardware configurations and software tools to ensure on-going operations. We guarantee continuous operations of our onsite installation. As part of our onsite management, ITN staff trains the temporary personnel on all aspect of the systems.

ATTENDEE TRACKING AND ACCESS CONTROL


ITN offers two solutions to track and control access by scanning visitor badges at entrances to secured areas:

  • Mobile BCARD Reader Access Control devices
  • Badge Access Stations (BAS) countertop devices

Secured access areas might include exhibit halls, general sessions, private meeting rooms, breakouts, networking events, meals or other functions. A range of objectives can be met using these devices, such as controlling access to approved personnel on a permission basis, tracking visits, analyzing participation or use patterns, or gathering subjective opinions or voting using survey functionality.

A photo ID and/or thumbprint can be embedded inside the BCARD chip or the BCARD can be linked to a network storage solution to quickly retrieve pictures to provide heightened security. Security enabled BCARD credentials can be issued to security staff, facility staff, exhibitors, attendees or anyone requiring a heightened level of secure access.

Hall and Session Access and Tracking

1.PocketAccess devices


PocketAccess devices verify access based on data encoded in the BCARD chip. The on-screen interface makes the job a snap for any room monitor to easily control the device and manage traffic flow.

PocketAccess is designed with device flexibility in mind. Every device in the on-site fleet operates identically, meaning that a room monitor can use any device to control access to any session on a single day. The intuitive on-screen menu allows room monitors to select the designated session from a master list, which instructs the device to automatically check the BCARD for the proper code that permits access to that session. Attendee data is stored locally on each device, and also simultaneously uploaded live via the cellular BCARD Mobile network to a secured website. ITN provides accurate counts and rosters enabling Clients to track and measure attendance at each session.

Access “granted” or “denied”
As an option, PocketAccess devices can be configured to display an “access granted” or “access denied” message. Also, an “Override” button can be enabled to allow attendees to enter an area based on verbal approval. Optional “In” and “Out” buttons allow data to be tracked on entrance and exit, which is ideal for CEU management with minimum attendance requirements.

PocketAccess data storage and accessibility
PocketAccess devices store data locally, while at the same time wirelessly uploaded to a secured website via the BCARD Mobile Network. ITN provides accurate counts and rosters for each session, and can also design a customized data transfer to the client’s internal system as required. Final reports are provided after the event.

2. Badge Access Stations (BAS) devices


With BCARD Touch ‘N Go technology (via NFC short-range RFID), expensive and unwieldy RFID gates are unnecessary. With access rights and permissions encoded directly in their BCARD credential, attendees can move in and out of secured areas quickly and easily by touching a BAS reader with their credential upon entering or exiting an area. 

At entrances to secured areas or main hall entrances, the BAS stations (each station is composed of 2 readers and a locally connected laptop) are positioned on pedestals or countertops. There, attendees touch their BCARD to the reader to enter quickly and conveniently. All BAS readers show a blue light in waiting mode and will display green and red lights to indicate valid or invalid entries. BAS readers can be optionally set to sound an audible alarm signalling invalid entries.     
            
Deploying a BAS station is simple and only requires a laptop and power source.

BAS data storage and accessibility
BAS devices store data locally on the connected laptop. At the end of each day, data is downloaded from each station and provided to the client. For clients who wish to have data uploaded in real time to a secured website via the BCARD Mobile Cellular network, an Internet connection or a WiFi card is required.
ITN provides accurate counts and rosters for each session, and can also design a customized data transfer to the client’s internal system as required. Final reports are provided after the event.

Perimeter Access Control
For more stringent security requirements, a BCARD activation process can be enabled requiring a badge authentication process at all physical entrances to the venue which means that the venue perimeters will need to be “locked down“ at all times. The methodology utilizes BAS Stations according to the following approach:

    1. BAS stations are located at every entrance for general entry where the BCARD is systematically verified for activation or validation.
    2. BAS units display a green light when valid or red light with audible alarm when invalid. On a show-by-show basis, procedures are established for situations a BCARD is invalid.
    3. Any individual with a non-activated BCARD is sent to the credential activation counter, where a photo-ID is required for activation.
    4. Individuals attempting to enter with an invalid BCARD will have it confiscated and will be sent back to registration for credential re-issuance.

Each BAS station is connected to the central server and powered and operational at all open times. Guards and/or temporary staff will be required at entrances to monitor the BAS. All stations maintain a local, continuously updated copy of the invalidated UID from the central server. Electronic BCARD verification requires less than 1 second.  Please see our videos.

INTERACTIVE DATA COLLECTION

Respondent evaluations and insights

Session evaluations, preferences, votes, and ratings are easily collected by Show Organizers who want to gather audience feedback and measure results.

PocketSurvey
For session evaluations, PocketSurvey software are the most popular method as they offer un-tethered freedom. Our recommendation is to secure a representative respondent sample. This voluntary process becomes a “softer sell” and as a result, yields valuable information. As well, it does not disrupt the presenter.

As a best practice, room monitors pass two devices to the back of the room about 30 minutes before the session ends. Attendees activate the survey by touching their BCARD to the device. Upon completion, the device is passed to the next person. An incentive is often used to encourage participation. Response is typically higher when the presenter creates an expectation during the “housekeeping” portion of the presentation.  

Survey content can vary across sessions and dayparts. An unlimited number of questions can be posed (however we recommend 3 to 4). Attendee data is stored locally on each device, and also uploaded in real time via the BCARD Mobile Cellular Network to a secured website. Secured log-in access is provided to Clients during and after the event. 

PC BCARD Reader Survey
Desktop PC’s, such as self-registration or Internet Café computers, can be multi-purposed to collect data using PC BCARD Reader software in online or local mode. PC BCARD Reader runs custom surveys and is the easiest way to gather responses to open-ended questions using keyboard data entry. Data is stored locally and can be browsed and exported any time during and after the event. When PC BCARD Reader is enabled for wireless communication, it allows almost immediate access to responses anytime, anywhere (from an Internet-ready device). Data is transmitted to the PC BCARD Porlal, a secure website via the BCARD Mobile Cellular Network. There, Show Organizer can view, download, distribute and analyze data immediately.

Reporting           
Standard reports are available as part of the Full Service or Onsite Only Registration Packages. Additional reporting modules, seamless data integration with the client’s internal systems and custom reporting is available upon request.

Data Analysis
Customized analysis is available to clients that require it. Options include traffic flow analysis, session
attendance analysis, exhibitor lead retrieval usage, audience cluster analysis and more.

CREDENTIAL PRINTING AND ENCODING SOLUTIONS

Credential printing and encoding solutions are a key component of the total system delivered by ITN to show producers as either Full Service Registration or On-Site only. Alternatively, partners and customers can license and integrate our proprietary BCARD printing and encoding system independently of our other registration services.

THE ITN BADGE PRINTING SYSTEM

Two core solutions are delivered in tandem as a turnkey package:

  • Enterprise Credential Production (software as a service)
  • PrintPod Tools (software and hardware)

For partners and customers that require only the BCARD credential production component for integration into their overall solution, ITN can provide a licensing package. This package is ideal for instances where a pre-event registration solution or web registration application exists, but other services or capabilities that are provided by ITN are not available and would nicely complement their offering. With a simple software integration process, a customer can use the package which includes the necessary badge printing hardware, print servers and controllers with software, training, documentation and off-site (and onsite if needed) support, to BCARD enable its solution.  Multiple badge media formats can be produced including BCARD and 1D barcode (and 2D barcode if really needed).

Enterprise Credential Production (ECP)

With ECP you can effectively send registration data from your off-the-shelf or proprietary registration system to the ITN ECP system and generate BCARD credentials. You can send your pre-registration data via the Internet to the ECP solution to facilitate pre-event badge production, email confirmation and pre-show mailing (when required), but most importantly you will be able to send onsite registration data in the same manner and produce a full BCARD onsite from your own system. ECP sends Web/XML confirmation after each data transfer for validation purposes.

ITN provides ECP as a turnkey system including PrintPod software, printers, server and laptops. ITN installs its ECP servers on the client on-site network and client sends information from its system to the ECP application. Credentials print simultaneously on the printers selected. The system allows for setup of as many print units as needed.

PrintPod Tools

ITN PrintPod Manager is a PC-based software application that enables simple and effective “on-the-fly” customization for badge layout, design and personalization.  PrintPod Manager personalizes BCARD credentials and can create highly flexible and customized layouts. When used as part of ECP, layout customization is done without programming or code modification to the client’s existing registration software. Integration will accommodate most databases, including international records and characters. 

Badge printers are driven via a direct connection and use the manufacturer’s internal drivers. Our encoding method is fully automated to manage data, personalization and printing in a single pass which significantly speeds production time. As a result, clients enjoy complete flexibility on the design of the printed fields such as automatic scalability of fonts depending on length of the fields.

BADGE MEDIA TYPES

While BCARD interactive NFC badges (short-range RFID) are the main method of credentialing for ITN, we provide a host of other badge media types to accommodate special customer needs.

Mobile BCARD Reader

Mobile BCARD Reader for is a self-contained, battery-powered mobile device and integrated badge reader. With Mobile BCARD Reader, users can be walk throughout the venue, interacting with customers and prospects freely.

Mobile BCARD Reader survey questions defined by the user through a web interface before they leave for the show (go to Make Survey).

When a BCARD touches the reader, the first survey question appears, allowing the user to answer questions. Once done, full content from the BCARD badge is displayed on the screen for confirmation or editing. Notes can be entered and leads can be browsed.

Lead data is always stored locally on the device. Users bring the units back to the ITN Exhibitor Services Desk and ITN download their leads.  Data is also transmitted to a secure website called BCARD Portal via the BCARD Mobile Cellular Network so users can view, download, distribute and analyze leads immediately.

Mobile BCARD Reader is a battery powered device and does require periodic charging. A power supply is provided with each device.

BCARD: Writing back to the badge

The ability to encode a BCARD with information instantly and wirelessly creates opportunities for attendees that have never before been possible. Here are some of the applications we provide that are a direct result of being able to write back to the BCARD badge.

  • iPORTAL – Internet Café: When a BCARD is placed on a reader attached to an internet workstations user is logged in based on permission status retrieved from  the card and key activities are recorded back on the card. When card is taken away from the reader user is automatically logged off.
  • View - Schedule: Attendees who wish to modify their CEU classes or seminar schedule can retrieve their calendar at a designated workstation, modify their schedule and instantly record data back to their BCARD, updating it with the newly created access codes.
  • Secure - BCARD: A photo ID and/or thumbprint can be stored on the BCARD or a direct link to a photo network storage device can be encoded in the card to provide heightened security.
